Here’s how you can embed Power BI content in PowerPoint:

Using Power BI Publish to Web (for Public Sharing):

  1. Publish Power BI Report to Web:

    • In Power  BI Service, open the report you want to embed in PowerPoint.
    • Click on “File” and then select “Publish to web.”
    • Generate an embed code for the report, which will create a public URL.
  2. Embed in PowerPoint:

    • In PowerPoint, open the slide where you want to embed the Power BI report.
    • Click on the “Insert” tab in the PowerPoint ribbon.
    • Choose “Web Page” or “Online Video,” depending on your PowerPoint version.
    • Paste the public URL (embed code) you generated in step 1.
    • PowerPoint will load and display the Power BI report within your slide.

Using Power BI Export to PDF (for Static Images):

  1. Export Power BI Report to PDF:

    • In Power BI Desktop, open the report you want to include in PowerPoint.
    • Go to the “File” menu and choose “Export.”
    • Select “PDF” as the export format and customize any settings you need.
    • Export the report to a PDF file.
  2. Embed PDF in PowerPoint:

    • In PowerPoint, open the slide where you want to include the Power BI report.
    • Click on the “Insert” tab in the PowerPoint ribbon.
    • Choose “Object” (in some versions, it may be listed as “Object” or “PDF”).
    • Browse and select the exported PDF file.
    • The PDF containing the Power BI report will be displayed on the slide.

Please note the following considerations:

  • Interactivity: The “Publish to web” method allows for interactivity, meaning viewers can interact with the embedded Power BI report, while the PDF method provides static images.

  • Data Security: Be cautious when using “Publish to web” as it makes your report public. Only use it for non-sensitive data. For sensitive data, consider other methods of sharing.

  • Data Refresh: If your data in Power BI is frequently updated, ensure that the data in the embedded report is up-to-date when presenting.

  • PowerPoint Versions: The steps and options may vary slightly depending on your version of PowerPoint and Power BI.

  • Embed Codes: When using “Publish to web,” be aware that the generated embed code is public, so avoid sharing sensitive or confidential data using this method.
