Prerequisites

  1. Tableau Desktop: Ensure Tableau Desktop is installed on your computer.
  2. Access to SharePoint: You need access to the SharePoint site and the specific list you want to connect to.
  3. Permissions: Make sure you have the necessary permissions to access and read the SharePoint list.

Steps to Connect Tableau to a SharePoint List

 

  1. Open Tableau Desktop:
    1. Start Tableau Desktop.
  2. Select Data Source:
    1. In Tableau, go to the ‘Data’ menu and select ‘Connect to Data’.
    2. Choose ‘Web Data Connector’ from the list of data sources.
  3. Enter SharePoint Web Data Connector URL:
    1. A browser window will open within Tableau.
    2. You need to enter the URL of a Web Data Connector (WDC) that is specifically designed for SharePoint lists. This could be a URL provided by your organization or a third-party WDC for SharePoint.
    3. Note: Tableau does not have a built-in SharePoint List connector, so you’ll typically use a third-party connector or one developed in-house.
  4. Configure SharePoint Connection:
    1. In the WDC interface, enter the URL of your SharePoint site and the name of the list you want to connect to.
    2. Provide your SharePoint login credentials if prompted.
  5. Load Data:
    1. The WDC should retrieve the structure of the SharePoint list.
    2. You can then select the columns you want to import into Tableau.
    3. Click the button to fetch the data (this button’s label may vary depending on the WDC).
  6. Customize Data Source in Tableau:
    1. After loading the data, you’ll be taken back to Tableau’s main interface.
    2. Here, you can join multiple tables, create calculated fields, and apply filters as needed.
  7. Create Visualizations:
    1. Switch to the worksheet tab to start creating visualizations with the SharePoint list data.
  8. Save and Share Your Work:
    1. Save your Tableau workbook.
    2. Share it by publishing to Tableau Server or Tableau Online, or by distributing the workbook file.
